This Privacy Policy explains how Maplecrest Living ('I', 'me', 'my') collects, uses and protects personal information when you use my website or engage me as your online tutor. Maplecrest Living is a sole-trader business operated by Laxmi Tamang from 40 Oaks Lane, IG2 7PL, United Kingdom.
I am the data controller for the personal information described in this policy. I take my responsibilities under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018 seriously, and I have designed my working practices to keep the amount of personal data I hold as small as possible.
This policy applies to information collected through my website (maplecrestliving.co.uk), through email or phone contact with me, and during the delivery of my tutoring services. Please read it carefully. By using my website or booking a programme with me, you confirm that you have read and understood how your information will be used.
When you contact me through the enquiry form I collect your name, email address, telephone number, the age of the student and the message you send. When you book a programme I additionally collect the information needed to plan lessons — usually the student's current school year, subjects, target exam boards and any specific learning needs shared with me by a parent or guardian.
When you pay for a programme, payment is processed by Stripe. I do not see, store or process your card details at any point. I receive only a confirmation of successful payment together with your name, email and the programme purchased.
During tutoring sessions I may keep private lesson notes for planning purposes, such as topics covered, homework set and areas to revisit. These notes are held for the duration of our working relationship and deleted within a reasonable period after that relationship ends.

I rely on 'contract' as the lawful basis for processing information needed to deliver a programme you have booked with me.
I rely on 'legitimate interests' when responding to enquiries, keeping brief lesson notes, and maintaining basic business records such as invoices.
I rely on 'legal obligation' when retaining records required by HMRC, safeguarding law, or other statutory duties.
Where you provide sensitive information voluntarily (for example, disclosing a specific learning difficulty so I can adapt my sessions), I rely on your explicit consent, which you may withdraw at any time.
To respond to your initial enquiry and arrange a Learning Assessment. To plan, deliver and review tuition sessions. To send you programme-related updates such as scheduling confirmations, session recaps and progress notes. To issue invoices and maintain the records HMRC requires me to keep. To respond to any safeguarding concern I am legally required to report.
I do not use your information for advertising, profiling or automated decision-making. I do not sell personal information to any third party.
I share information only where it is necessary to deliver my services or to comply with the law. This includes Stripe (payments), Google Workspace or equivalent providers (email and secure document delivery), and video-calling platforms such as Zoom or Google Meet, which process a limited amount of technical information to connect our sessions.
Where I am legally required to share information — for example, in response to a safeguarding concern, an HMRC audit or a lawful request from a UK authority — I will do so and, where permitted, will inform you.
Some of the service providers I use may process data outside the United Kingdom, typically within the European Economic Area or the United States. Where this is the case, I rely on providers that offer appropriate safeguards such as UK-approved Standard Contractual Clauses or equivalent adequacy mechanisms.
Enquiry emails: up to 12 months from the date of enquiry unless you become a client.
Client records and lesson notes: for the duration of our working relationship, plus 12 months.
Financial records (invoices, receipts, payment confirmations): a minimum of six years, in line with HMRC record-keeping obligations.

Under UK GDPR you have the right to access the information I hold about you, to have it corrected if it is inaccurate, to have it erased where there is no continuing lawful reason to keep it, to restrict or object to certain processing, and to receive a copy of the information you provided to me in a portable format.
To exercise any of these rights, email admin@maplecrestliving.co.uk. I will respond within one calendar month.
You also have the right to lodge a complaint with the UK Information Commissioner's Office (ICO) at ico.org.uk if you believe I have not handled your information properly.
I keep the amount of personal data I hold to the minimum needed. Where information is stored digitally, it is held in reputable UK/EU-based services with encryption in transit and at rest. Access to devices used for tutoring is protected by a strong password, screen lock and up-to-date operating system security.
Most of my students are under 18. Where a student is under 16, I take instructions only from a parent or legal guardian. Contact details of children under 13 are collected from a parent or guardian, not from the child directly. I never share a child's information with third parties for marketing purposes.
I may update this policy from time to time. Where changes are material I will highlight them on this page and, where appropriate, notify active clients by email. The 'last updated' date at the top of the page indicates the most recent revision.
